A Smarter Way to Manage Lease Renewals at Scale

A Smarter Way to Manage Lease Renewals at Scale

Lease renewals should be predictable. Instead, they’re often messy. Spreadsheets, email threads, scattered notes, and constant follow-ups slow your team down. And when you’re managing hundreds of units, that friction adds up fast. At Rentvine, we believe property managers deserve better. So we built a smarter, more connected way to handle lease renewals from start to finish using our property management software designed for growing portfolios.

Why Lease Renewals Needed a Rethink

Renewals sit at the center of your business. They impact retention, revenue, and owner satisfaction all at once. But most systems treat renewals as a side process instead of a structured workflow. The result is familiar. Missed deadlines. Inconsistent decisions. Too much manual communication. Not enough visibility. We set out to change that by investing in property management software innovation that actually improves how teams operate day to day.

One Workflow. Start to Finish.

Lease Renewals brings your entire lease renewal workflow into one place so your team can move faster with less back-and-forth.

It starts with the Review stage, where everything you need is already in front of you. Lease details, renter history, and key dates are all centralized, making it easier to confidently decide whether to renew or move forward with a move-out.

From there, you move into Price & Send. You can quickly generate renewal offers using templates or create custom options tailored to the property. If you want to give renters flexibility, you can provide up to three options and send them directly for approval. No exporting. No extra steps.

Once accepted, the Sign stage keeps things simple. Generate a RentSign document instantly or upload your own lease agreement. Either way, everything stays within the same workflow, so your team isn’t chasing paperwork across systems.

Finally, the Finalized stage locks everything in. Terms, pricing, and dates are confirmed in one clean step, without the usual loose ends.

Month-to-Month Premiums: More Control Over Lease Transitions

When a fixed-term lease ends without a renewal, the transition to month-to-month shouldn’t be a financial gray area. Rentvine now includes dedicated month-to-month premium settings that give you precise control over what gets charged — and when.

Key Features and Lease Settings

Month-to-Month Premiums: A new section under lease settings allows you to configure premiums that automatically calculate additional charges when a lease transitions to a month-to-month term.

Flexible Premium Types: Define the right charge structure for each situation — flat rent increases, percentage-based increases of the base rent, recurring charges (flat or percentage), or one-time charges.

Management Actions: Premium settings can be deactivated, deleted, or reviewed via an audit log. Premiums actively linked to existing transactions are protected from deletion, keeping your records clean and accurate.

Property Defaults: Set a default month-to-month premium at the property level. It becomes the primary selection during lease creation, while still giving users the flexibility to modify or remove it during the lease process.

Lease Conversion Flows

Rentvine handles both directions of lease conversion, so your team isn’t left working around the system when tenant situations change.

Fixed to Month-to-Month: When a fixed-term lease ends, it can roll over into a month-to-month term with the selected premiums automatically applied.

Month-to-Month to Fixed: Converting back to a fixed term uses the original base rent — excluding any premiums — to calculate the new lease terms, ensuring accurate pricing without manual adjustments.

Renewal Offers: During the conversion process, the system displays a full breakdown of charges, including rent increases and premiums, so both your team and tenants have complete transparency at decision time.

Built for Teams That Are Scaling

For teams managing around 500 units, efficiency isn’t optional. It’s the difference between staying ahead and falling behind. That’s where lease renewal automation comes in. Instead of handling renewals one by one, your team can send offers, process move-outs, and take action across multiple leases at once. What used to take hours can now be done in just a few clicks.

And because Rentvine is built as a fully connected platform, these workflows tie directly into your accounting, reporting, and operations without requiring additional tools or add-ons. See how our all-in-one property management software pricing includes everything you need from day one.

The Bottom Line

Lease renewals don’t need to be complicated. When your workflow is connected, your team moves faster, your process becomes more consistent, and your business is better positioned to grow. That’s what lease renewal automation for property managers is built to deliver.
